PICKUP INSTRUCTIONS:
Your rental vehicle will be held for you for up to 1 hour beyond the booked pick-up time. If you are likely to be late, we advise that you contact our office in advance at 707-827-1400.
Upon arrival at Charles M. Shultz - Sonoma County Airport, exit into the main lobby and baggage claim area. Upon entering the main lobby, proceed to the far end past the baggage claim and look for the Nextcar Rental sigh and desk checkin.ADDITIONAL DRIVER POLICY
Minimum age to rent is 21. The renter or additional driver under the age of 25 may be subject to an additional fee of $25 per day. No other persons are authorized to drive the rental vehicle. The rental vehicle may be driven only by a renter, additional renter or and authorized driver listed in the rental agreement. All renters, additional renters or authorized drivers are required to qualify to drive the NextCar vehicle. To qualify, NextCar requires that all renters, additional renters and additional drivers (including spouses) appear at the time of rental and provide; a valid driver’s license, a physical street address (residence), an accepted payment card in their own name with funds available, sign the rental agreement and pay an additional renter or driver fee. All renters, additional renters or authorized drivers may be subject to a driver record check and or a credit record check. Government renters on official orders, corporate account customers renting on corporate rate plans, and drivers or companions of physically impaired customers do not need to pay an additional driver fee.AFTER HOURS RETURN
At check-out, we will verify your drop-off date. Rates quoted are based on pick-up date and length of rental. Should you choose to drop the car off before or after the drop-off date, the price is subject to change. If you drop-off the car early, you will not receive any credit or refund. Extensions are subject to availability and prevailing rates, and this rate you selected may not apply.

Follow the airport signs to the designated return lot for Nextcar Rentals. Park the car inside the parking lot with designated Nextcar signs, located to the right of the main airport terminal. Then visit our office in the Main Building of Charles M. Shultz terminal for processing the return.
Out of hours charges:
We reserve the right to supply the vehicles outside normal business hours, but in situations where the customer contacts us to indicate that a flight is delayed and causes the vehicle collection service to be extended beyond the normal hours of work, an additional charge may be charged in case we are available to deliver the vehicle. The additional charge must be paid at the time of collection of the vehicle.

Insurance Responsibility for Damages and the Rental Vehicle:
The renter, additional renters, or authorized additional drivers are fully liable for any loss or damage to the rental vehicle, even if someone else caused it or the cause is unknown, whether due to theft, fire, hail, flood, collision, vandalism, or any other cause, subject to any limitations imposed by the law where the vehicle is rented. This liability will not exceed the full value of the vehicle, plus; actual towing and storage charges; loss of use; diminution in value (regardless of whether the vehicle is repaired), a reasonable administrative fee, pro-rata license fees, all rental charges through the date you report the incident if not returnable or the contract return date, whichever is later, and any other out-of-pocket expenses incurred by NextCar as a result of the loss or damage to the vehicle.
All renters must have verifiable collision and comprehensive coverage for the rented vehicle. The most common method to provide verifiable collision and comprehensive coverage is through the car rental damage benefits provided by a credit card issuer. Another common method of providing collision and comprehensive coverage is through the renter’s or drivers personal or business auto insurance policy. Coverage provided by 3rd party carriers may be acceptable if the policy has been prepaid for a minimum of 30 days from the date of the rental and will provide collision and comprehensive insurance benefits to cover the rented vehicle and does not have a deductible greater than 500. Renters may choose to purchase the optional NextCar Collision Damage Waiver, if available at the location where you intend to rent the vehicle.
The renter and or any additional renter and or authorized additional driver (and the respective insurance companies of each) is primarily responsible for all third-party claims of personal injury, including death, and property damage caused or arising from the use and operation of the NextCar vehicle during the rental. If NextCar is required to provide primary coverage, it shall only be in an amount necessary to satisfy the minimum financial responsibility limits required by law. Where permitted, NextCar does not provide uninsured and underinsured motorist coverage. In those states where NextCar must provide such coverage, NextCar will only provide such coverage up to the minimum limits required by law.
Your Insurance, Collision Damage Waiver, Road Hazard Towing and Deductible Waiver and Other Optional Coverages:
At the beginning of the rental many NextCar locations offer for an additional daily charge, Collision Damage Waiver ('CDW'), Road Hazard, Towing and Deductible Waiver and or Supplemental Liability Insurance ('SLI') and or Personal Accident Coverage with Personal Effects Coverage ('PAE'). Separate brochures are available at the rental location summarizing the optional products. The cost, coverage, provider, and availability vary by location, vehicle category, and rate. The optional products offered by NextCar may or may not duplicate coverage provided by the renter's personal automobile insurance or insurance the renter may have through another source. Purchase of optional products is not required to rent the vehicle, however, all renters must have verifiable collision and comprehensive coverage for the rented vehicle.
Collision Damage Waiver ('CDW')
If the renter purchases the optional Collision Damage Waiver plan, NextCar will agree to waive the renter's responsibility for loss or damage to the vehicle. Collision Damage Waiver is not insurance or an insurance product. CDW does not apply if: (1) the renter uses the vehicle in violation of the rental agreement; or (2) the vehicle is stolen or vandalized; or (3) the renter fails to notify NextCar and the police immediately after the loss; or (4) the renter fails to pay the charges under the rental agreement.
Before deciding whether to purchase CDW, the renter may wish to determine whether their own automobile insurance or credit card agreement provides coverage for rental vehicle damage or loss and determine the amount of the deductible under that insurance coverage. The purchase of CDW is not mandatory, however, all renters must have verifiable collision and comprehensive coverage for the vehicle being rented. CDW is not insurance.RENTAL RESTRICTIONS
Geographical Restrictions Apply. Rental Vehicles cannot be taken out of state of CALIFORNIA.
Our vehicles are not authorized to cross the geographic limits of the state of CALIFORNIA under any circumstances. Mexico travel is NOT allowed.FINANCIAL POLICIES
We accept Visa, Mastercard, AMEX, Discover, and Euro cards. Bank Issued debit cards are accepted with a roundtrip airline ticket and proof of full coverage insurance that transfers to the rental vehicle, and must be shown at time of rental. All customers must provide a deposit of 300.00 USD plus the estimated cost of the rental at time of pick up. Cash payments will be accepted upon return of vehicle at the end of the rental. We do not accept pre-paid debit cards, gift cards, or checks
Extra day/hour rates on the receipt are only guaranteed at the time of bookings. Rates are subject to change based on availability if a rental extension is requested.
PREPAID RESERVATIONS ARE NON REFUNDABLE, NON CHANGEABLE AND MARKED NO SHOW IF NOT PICKED UP ON THE DATE AND TIME OF RESERVATION, Renter should provide all documents and charges as applicable on the reservation and additional charges for any other services including but not limited to Additional Drivers, Mileage, Geo Restrictions driving, insurance, etc.
Refunds if any, take up to 15 days.
THE FUNDS WILL NOT BE AVAILABLE FOR YOUR USE UNTIL AFTER THE VEHICLE HAS BEEN RETURNED (up to 15 business days) or YOUR BANK HAS APPLIED THE MONEY BACK TO YOUR ACCOUNT.
Additional Days are $75 plus your daily rates (Minimum).
Delinquent rentals that are not paid in advance will be billed at min $85/day (starting from the first day of the rental plus $ 200 as admin and processing fees)
Only 2 extensions can be done over the phone. Renter has to be present with the vehicle at the office to do the additional extensions of rental car.
IF DEBIT CARDS ARE USED BY OUT OF STATE RENTERS THEN THERE IS A 1 TIME FEE OF $100 ASSESSED IF RENTER PROVIDES HIS OWN FULL COVERAGE INSURANCE (INCLUDING LIABILITY AND COLLISION COVERAGE)
DEBIT CARDS / Cash Cards / Prepaid Cards are not accepted from local renters.
Debit Cards / Prepaid cards / Cash is not accepted to rent Minivans / SUV / Full size Vans / Premium Cars
If some one other than the renter returns the vehicle then there is a one time fee of $50
OUR MAX LIABILITY IS ONLY UPTO THE MAX AMOUNT PAID FOR THE ACTUAL RENTAL AMOUNT PAID BY THE RENTER .
IF THE CARS ARE RENTED FOR MORE THAN 7 DAYS OR OVER 500 MILES THEN it is the responsibility of the renter to check all fluids and water and maintain levels or bring to our office so we can do the inspection (during our work hours 0900 - 1700).
Each cancelled RESERVATIONS THAT ARE SECURED ON CREDIT CARD WITHIN 48 HOURS OF PICK UP TIME WILL BE CHARGED $50 (OR ONE DAY RENTAL) + APPLICABLE TAXES AND FEES
PRE-PAID DISCLAIMER
Cancelations made more than 24 hours prior to reserved, local pick-up time qualify for a full refund. Cancelations made between 1 and 24 hours prior to reserved, local pick-up time qualify for a 50% refund. Cancelations made less than 1 hour prior to reserved, local pick-up time do not qualify for a refund. It may take up to 5 business days before the funds are credited back to the original payment method.
ADDITIONAL FEES AND CHARGES:
The renter may incur one or more of the following charges and fees; an on-airport or off-airport concession recovery or access fee, an airport consolidated facility charge, an airport transportation facility charge, frequent flyer surcharges, and vehicle license fees (which are the estimated average per day portion of our annual vehicle tax, license, title, inspection and registration costs). There may also be other government imposed fees and charges on total rental charges. These charges may be calculated either as a percentage, or a per day charge, or a per rental charge.
TOTAL PRICE:
The price you selected includes the rental car rate, estimated taxes, and applicable fees. The price does not include additional fees/charges that may be incurred during your rental.REFUELING POLICIES
Please return the vehicle with the exact amount of the fuel provided at the time of rental pick up. Vehicle should be returned at the same amount of gas taken when renting. Refueling fee is $9/ gallon (Minimum amount charged will be $20). You have an option to purchase the fuel at the time of pick up at the existing or little lower gas pump prices.RENTER QUALIFICATIONS
Renters must present a valid driver's license and a major credit card at the time of rental. International renters must present a valid driver's license as well as a valid passport.
Rental age is 25 years or older. Renters between the ages of 21-24 will incur an underage driver's fee. Renters younger than 21 are not accepted.
Local renters are subject to a security deposit of $300 USD, plus the estimated amount of the rental. Local Renters MUST provide valid proof of transferable full coverage to a rental vehicle, CDW and SLI are not allowed to be purchased by any local renters. All local renters must present a current utility bill in their name with the address that is listed on their license. A utility bill is water, electric or cable. We do not accept cell phone bills as a utility bill. Debit cards will not be accepted for local renters.
Vehicles must be returned with the same level of fuel as they had at pick up time in order to avoid a refueling surcharge. The fee is 9.99 USD per gallon needed. Nextcar has initiated an enhanced inspection process to ensure a pleasant rental experience for all. Each vehicle will be confirmed smoke free when it is provided to a customer. Upon its return it will be inspected. If the rental vehicle is not returned in a reasonably clean condition or if you violate the no pet or smoking policy, you may be charged 250.00 USD or more for cleaning fees, plus any interior repairs that are needed as a result of a policy violation.
Vehicles are held up to 4 hours past the arrival time on your reservation during operating hours. When flight details are provided, we will hold the vehicle for up to 4 hours after flight arrival. After the 4 hour window, you will be considered a no-show and we may or may not be able to honor your reservation, depending upon availability.
If you return the Vehicle after the Due-In Date, you may be charged the standard rates for each day (or partial day) after the Due-In Date, which may be substantially higher than the rates for the initially agreed rental period. You also may be charged the standard fees for each day (or partial day) after the Due-In date for any equipment or services provided to you without charge for the initially agreed upon rental period. You will not receive a refund of prepaid amounts if you return the Vehicle before the Due-In Date. All Charges are subject to a final audit. If errors are found, you authorize us to correct the Charges with your payment card issuer.
Vehicles may be equipped with a GPS tracking unit.OTHER POLICIES
NO SHOW:
We reserve the right to deny the vehicle to any client who does not show up at the agreed date and time with all the necessary documentation and a credit card with sufficient available funds for the deposit of the vehicle. In such a case, unless the rental has been canceled in advance, the client will not be entitled to a refund.
For any rental refused at the rental counter due to failure to present rental voucher or sufficient and required identification documents (such as: valid driver's license, credit card or other proof of identification) during car pick-up, we reserve the right not to provide it. Such cases of insufficient or non-existent documents are, and would be, treated as 'No Show' and, therefore, you will not be entitled to any refund or refund of the pre-paid money for your rental. Rental period/calculation of the daily rate
A rental period is calculated and charged based on a 24-hour time cycle. Once you have collected your vehicle, the extension of the rental period and late returns are charged at the local rate at the time of vehicle delivery. You can check at the counter for more details about the charges for it.
RENTAL EXTENSION:
Your car rental time begins and ends according to the pick-up and drop-off information issued in your contract. The charges are calculated according to units of 24 hours, If you wish to extend your rental time after picking up your car or if you return it later than the time / date declared in your rental agreement, then local rates will apply for such extension. which are usually higher than the promotional rates, for any extension you must contact us at least 6 hours before your estimated delivery time. The extension request is not a guarantee of its approval, since the vehicle may possibly be reserved for the date and time following your return. Payments for extensions must be made directly at our location and under no circumstances will the security deposit be taken as part of the payment for said purpose.
